Introduction to CMS Hub

HubSpot's CMS Hub offers a flexible, modular approach to website development. At the Starter and Pro levels, it’s similar to WordPress or Webflow, but at the Enterprise level, it evolves into much more than a website builder—it becomes a powerful platform for creating custom customer and partner portals, front-end applications, and extending your HubSpot CRM with tailored front-end experiences.

Your website and front-end applications shape how the outside world interacts with your business. When set up and maintained correctly, they not only streamline internal processes but also deliver a seamless, personalized experience to your prospects and customers.

However, if CMS Hub isn’t implemented properly, it can become a burden, requiring ongoing support from developers—draining both time and resources. That’s why partnering with an expert, like Set 2 Close, is crucial. We understand the CMS Hub platform inside and out, ensuring you get not just a great experience for your users, but a sustainable, low-maintenance solution for your team, now and in the future.

What is a CRM powered CMS?

The business landscape has experienced a profound cultural shift in recent years, driven by several key factors:

🚀Higher expectations from buyers.
🚀Limited time to operate the way we once did.
🚀A growing need to work smarter, not harder.
🚀Traditional CMS platforms struggling to keep up.

This evolution is pushing businesses to demand more—more data, greater personalization, more automation, and expanded functionality.

As a result, it's become clear that a company's website is no longer just a digital storefront. It's a vital touchpoint in its relationship with customers. That's why integrating your website with your customer relationship management (CRM) system is now more important than ever.

Enter: HubSpot's CMS Hub

What makes HubSpot’s CMS Hub truly exciting is its seamless integration with the core HubSpot CRM platform. This connection opens up a world of possibilities for businesses looking to create dynamic, data-driven web experiences. For example, when you mark a company as a partner in HubSpot, the CRM can automatically generate a dedicated web page for that partner. Or, you can create directories that update in real time based on changes made within your CRM.

This fusion of web and CRM functions enables companies to create a powerful alignment between their internal processes and their online presence. At Set 2 Close, we’ve used this integration for things like dynamically generating open job listings directly from our CRM’s “Job” object on our Careers Page.

This functionality isn’t just useful for any business aiming to reflect internal changes on their website—it’s especially valuable for businesses that offer tech-augmented services, where operational agility and the ability to quickly update content is crucial.

Membership Portals

In HubSpot CMS Enterprise, the Memberships feature unlocks the ability to create exclusive, "private" sections of your website, accessible only to specific audiences. HubSpot takes care of all the technical details—logins, passwords, and page access—so you can focus on creating a seamless, engaging web experience, without worrying about account management.

What makes this even more powerful is that Memberships integrates directly with HubSpot’s Lists feature. You can automate access through workflows or dynamic values, allowing HubSpot to manage account provisioning for you. This tight integration within the HubSpot CRM platform enables you to create highly personalized experiences, whether it's a partner portal, customer portal, or employee access area—right on top of HubSpot’s robust system.

With Memberships, you're not just building websites; you're building tailored, scalable experiences that are easy to manage and designed for growth

Effective technology starts with implementation.

Our Implementation Process

01. Solution Design

At Set 2 Close, we kick off your implementation with a thorough discovery and design phase. During this stage, we dive deep into understanding your key user journeys, desired functionalities, and the data architecture needed to bring everything to life.

We ensure everything you need is achievable, providing clear insights into any limitations and how we can overcome them. From there, we deliver low-resolution mockups and click paths, complete with representative data models, so we’re all aligned on the final functionality. Once everything’s in place, we’ll provide a detailed Gantt chart outlining your project timeline and key deliverables.

This approach ensures a smooth, transparent process from start to finish, with a focus on delivering exactly what you need.

02. High Resolution Mockups

Once the Solutions Design phase is complete, you’ll be paired with one of our CRM consultants and a UX/UI specialist from our team.

Together, we’ll craft high-resolution mockups in Figma for your CMS solution. These designs will be data-driven, ensuring each page and user journey is tailored to your CRM data, creating a truly personalized experience.

Before moving into the build phase, we’ll collaborate closely with your team to review and refine these mockups, ensuring every page and functionality meets your expectations. Only once these design assets are approved will we proceed with the development of the functional pages.

03. Design Revisions

At Set 2 Close, we prioritize capturing the full scope of your team's user journeys and design requirements during the solution design phase. However, before we move into development, we want to ensure that nothing has been overlooked.

It's not uncommon for clients to identify additional features or adjustments once the designs start to take shape, or to find that some elements of the original vision don’t feel as cohesive in practice.

We'll be right there with you, guiding the process to minimize scope changes and making sure any adjustments are handled efficiently and effectively—before development begins. This way, we ensure everything is aligned and ready for success from the start.

04. Development

Once the designs are approved, we’re ready to roll up our sleeves and get to work. CMS projects go beyond just page development—they’re about creating a seamless, optimized experience.

Our team will craft custom modules that enhance the content editor’s workflow, design robust data models, and integrate external data sources both within the CRM and directly on the site. We’ll also ensure that all pages are responsive and align perfectly with the approved designs.

05. Internal QA & Testing

We’ll thoroughly test every page and module we’ve developed to ensure everything functions as expected.

This process will involve not only team members who are familiar with your project, but also fresh eyes from outside the project. This way, we can avoid any assumptions and ensure the final result meets your objectives seamlessly.

06. User Acceptance Testing

Once we’ve completed our internal QA, we’ll bring your team into the process. To make testing as seamless as possible, we’ll provide you with a testing and QA sheet that outlines everything clearly, ensuring we follow the right steps to get the user journeys thoroughly tested and approved.

It’s important that the actual end users from your team participate in this stage. This way, we can confirm we haven’t overlooked any details or made assumptions that could hinder their ability to use the final product effectively.

07. Training & enablement

Ensuring your team fully understands how your new platform works is essential to achieving lasting success. We’ll guide you through every setup step, outlining what to expect and demonstrating how everything is designed to function seamlessly.

If you have internal developers, we’re happy to bring them up to speed on any custom elements. Our ultimate goal is to empower you and your team to independently manage everything we create, ensuring you’re self-sufficient long-term, without needing ongoing external support.

08. Go Live

Once your team is fully comfortable with your new CMS solution, we’ll move forward with the go-live process. We’ll handle all necessary redirects, assist with user provisioning, and provide full support during the transition to ensure a smooth launch.

We view CMS projects as just the beginning. Once your system is live, we’ll seamlessly transition into an ongoing support phase, where we continue to optimize the platform in line with your business’s growth. After a successful launch, we’ll be ready to discuss how we can keep the momentum going with continuous improvements tailored to your needs.
